Employee Travel Profile Policy
This policy provides an overview of the employee’s responsibility regarding their travel profile. Please be sure to proactively manage the information in your profile so that you may enjoy your travel privileges seamlessly.
Scope & Eligibility
This policy applies to employees of Air Canada, AC Rouge, AC Vacations, AC Express, and Fasco.
To be eligible, these employees must have:
- Completed 6 months of continuous service as a:
- Permanent full-time employee, or;
- Temporary full-time employee, or;
- Permanent part-time employee.
Helpful hint:
Be sure to check all the details in your travel profile carefully as you are responsible for any erroneous information.
Useful Definitions
- Allotment:
- The number of passes active/retired/survivor will receive to use for non-revenue travel on Air Canada each year. After each trip, you will be billed, and your allotments reconciled to reflect usage.
- Boarding priority:
- The order in which employees will be awarded seats in case there are not enough available for all who are listed on the flight.
- ZED fare:
- Travel privilege on a partner airline of Air Canada.
Rules & Limitations
Your Employee Travel Profile is a practical tool you can use to easily book, track and make decisions about your travel privileges. Please review the guidelines below.
Rules
For the storage of detailed information regarding your travel privileges including:
- Eligible travel partners (i.e.: spouse, designated partner, dependent children, non-dependent children, and parents)
- Up-to-date record of your travel allotments (i.e.: remaining passes, priorities, and special privileges such as C1/J00, Service Awards, etc.)
- Running account of your travel history (i.e.: trips taken, all charges billed to you)
For the secure storage of credit card information, including card number and expiry date, which you may update at any time.
Limitations
Non-transferrable to another person.
Unlawful to sell/barter travel privileges.
Procedure
To access your Employee Travel Profile:
- Go to ACAeronet > Click on Employee Travel
To access your Employee Travel Profile for retiree / survivor:
- Go to travel.aircanada.com
To rest your pin:
- Download the PIN reset instructions
To add eligible family members, including parents to your travel profile:
- Go to ACaeronet > HR Connex > Policies & Forms> Employee Profile and Travel Form – ACF85B
To add non-dependent children and/or a designated partner to your travel profile:
- Go to My Profile > Eligible Persons >
- For Married /Common-law employee it will read as follows:
- Register your Non Dependent Children
- For Single employees it will read as follows:
- Single? Nominate or Change your Nominated Partner (maximum twice per year)
- Register your Non Dependent Children
Non-compliance
The Employee Travel Profile was designed to facilitate your management of your travel privileges. Just as you count on Air Canada to populate your profile with accurate information, we count on you to do the same. Therefore, you are fully responsible for all information you register online. Any misinformation, including registering ineligible persons, is considered a serious offense and may be subject to disciplinary action, including suspension of travel privileges.
